Operations Assistant

£25,000 (Entrust Terms and Conditions)

The Operations Assistant is required to support service delivery, business compliance and to work alongside the management team to achieve to the business and commercial objectives as set by the Head of Service. The role will primarily be accountable for scheduling of resources for lessons, liaison with families, schools and teachers, and in support of our annual cycle of concerts and events.

The Operations Assistant is required to support service delivery, business compliance and to work alongside the management team to achieve to the business and commercial objectives as set by the Head of Service.  The role will primarily be accountable for scheduling of resources for lessons, liaison with families, schools and teachers, and in support of our annual cycle of concerts and events.

Key Responsibilities:

The key responsibilities include but are not limited to;

  • Being accountable for identified aspects of operational service scheduling; lessons, concerts and events
  • Support Music Service Managers in achieving the business objectives or requirements of the service
  • Respond positively to external and internal customers’ needs through various communication channels
  • Strive to deliver customer performance targets, Key Performance Indicators and Service Level Agreements
  • Follow processes and procedures to complete work items
  • Follow business guidelines in communicating with customers
  • Escalate business risks and issues in a timely manner to Music Service Managers
  • Undertake pre-defined and ad-hoc requests as required by Music Service Managers
  • Build positive and collaborative working relationships within Entrust
  • Ensure volumes are forecasted and resource plans in place to meet demand
  • Prepare and present management and performance reports
  • Report on performance as requested by the Head of Service
  • Work with the management team to review and benchmark performance
  • Manage and maintain positive stakeholder relationships both internally and externally
  • Such other duties as may arise in connection with the activities mentioned above
  • Identify updates to procedures or training material and update on request
  • Build positive and collaborative working relationships within Entrust
  • Satisfy legal or regulatory obligation under which Entrust operates

SKILLS & ATTRIBUTES:

  • Suitability to work with children and young people
  • Specialist music degree or equivalent and qualified teacher status
  • Experience of teaching in a variety of settings and situations
  • Excellent planning and delivery skills
  • Excellent ICT skills
  • Operate as part of a team & support other team members
  • Flexibility in supporting the overall business and customers’ needs including the introduction of new processes and their underpinning technologies
  • Strong organisational skills
  • Excellent interpersonal, written and verbal communication skills
  • Work to deadlines and targets where defined
  • Follow processes and procedures
  • Honest, reliable and motivated in approach
  • Respond positively to and support change
  • Flexible approach in order to be able to respond to the needs of the team and the overall unit
