Music Service Business Manager

£28477 - £30646 per annum

Cognus Limited are looking for a Music Service Business Manager to take the strategic lead in developing, implementing and maintaining effective and efficient administrative procedures for office-based operational, financial and administrative systems including supporting the financial resilience of the service.

This role will be liaising with customers both in person and over the phone/email and so great customer service skills are key. Experience of financial systems including Xero is advantageous as is minute taking and complaint resolution.

Whilst the role will primarily work standard office hours, all Music Service employees are expected to support and attend concerts and events and provide cover as needed so there may be some evening and weekend work as well as attending residential trips.

Successful applicants must have outstanding communication skills, be an effective leader and have a flexible attitude to work. A love of music is also essential.


  1. To take the strategic lead in developing, implementing and maintaining effective and efficient administrative procedures for office-based operational, financial and administrative systems.
  2. To coordinate the booking and timetabling of instrumental lessons and ensemble membership.
  3. To coordinate a team of casual music tutors.
  4. To develop and maintain the Music service database.
  5. To contribute to the long-term strategic development and business planning of the Music Service in line with and in addition to the priorities set out in the National Plan for Music and Arts Council England’s funding requirements.
  6. To support the financial resilience of the Music Service through the effective budgeting of events and hub projects, developing new projects to generate income, and developing fundraising strategies.
  7. To work in collaboration with the Sutton Music Service team to create an inclusive service that helps every young person in the London Borough of Sutton to make, be inspired by and to celebrate the music that they love.
  8. To contribute to the development plans for fundraising and generating additional income to produce music and arts-based projects that meet the needs of young people across the London Borough of Sutton.
  9. To support the Head of Music Service with the collection of key performance data required by Arts Council England.




  1. Line manage the Youth Engagement Assistant and oversee the duties of the Administrative Officer for the Music Service.
  2. Continuous improvement of office and other administration processes
  3. Deal with customers in person, in writing, and over the telephone, including debt management
  4. Oversee, generate and advise upon the service’s written communications with all stakeholders
  5. Monitor, respond to, and generate social media posts
  6. Management and completion of bookkeeping tasks through the Xero financial system
  7. Provide senior-level assistance to all HMS staff
  8. Resolve complaints from customers and concerns or issues raised by staff
  9. Attend the Sutton Music Education Hub Board Meetings, creating minutes, and circulating agendas.

Strategic Development

  1. Attend and contribute to monthly Music SLT team meetings.
  2. To support the Head of Music Service in the management and overview of services offered to schools in the London Borough of Sutton.
  3. Promote, build and maintain strong relationships with new and existing clients to maximise on revenue opportunities.
  4. Work to ensure excellent communication across the Music Service and its clients, providing outstanding customer care.
  5. Be responsible for the effective delivery of musical services in schools by producing, implementing and monitoring operating procedures, providing timetables, registers, staffing, and maintaining the Music Service database/ management software in line with GDPR.
  6. Create marketing content that promotes the Sutton Music Service in line with its vision, mission, and principals.
  7.  Contribute to and lead, where appropriate, the planning and delivery of events and concerts, including residential trips.
  8. Support the Head of Sutton Music Education Hub/Sutton Music Service and colleagues within Cognus Limited to ensure accurate financial records are maintained, producing management accounts for Sutton Music Education Hub/Arts Council England reporting purposes.

Qualifications and experience – essential

  • Right to work in the UK
  • Significant experience of administration and clerical systems within a work environment
  • Experience as a supervisor
  • GCSE English and mathematics grade A-C, and experience or training appropriate to a managerial post
  • Excellent IT skills, particularly Office 365 and SharePoint systems
  • An enhanced DBS check will be carried out

Qualifications and experience – desirable

  • Degree-level qualification
  • A track record of improving administrative processes
  • Significant experience of management
  • Knowledge of a financial system such as Xero
  • Experience of web design and social media.
  • Project management and high-level organisational skills.
  • Is committed to the safeguarding and protection of children and young people.
  • Knowledge of requirements and expectations of working in a school setting including DBS checks, safeguarding, health and safety, dress code and professional conduct.
