Cognus Limited is looking to appoint an innovative and enthusiastic Ensembles, Events & Media Coordinator that shares Sutton Music Service’s vision to help every young person in the borough make, be inspired by, and celebrate the music they love. The successful candidate will coordinate the day-to-day operations of our eight instrumental ensembles and two choirs. They will support the conductors and tutors, deal with inquiries, and assist with invoicing. They will manage applications, student progression between ensembles and ensure that our musical groups maintain a high profile.
The successful candidate will need to be able to commit to evening work during the term time, have a ‘can do’ attitude and deliver high levels of customer care. They will be highly literate and numerate with IT skills that include a working knowledge of Office 365 and SharePoint systems. Excellent communication and interpersonal skills and a confident phone manner are essential, as is the ability to work with initiative and take on responsibility where appropriate.
With its roots going back to the 1960s, Sutton Music Service, part of Cognus Limited, is the lead partner in the Sutton Music Education Hub. Over 800 students are currently engaged with our Vocal & Instrumental Tuition, Ensembles and/or Instrument Hire. Over 2100 primary school-aged pupils are learning an instrument as part of our First Access Whole Class Ensemble Tuition (WCET) programme. A) Collaborate with the Music Service core team members to develop all areas, creating an inclusive service that helps every young person in the London Borough of Sutton make, be inspired by, and celebrate the music they love.
B) To be responsible for the welfare and engagement of children and young people at rehearsals, concerts and events.
C) To coordinate the smooth-running of all ensembles, working with a team of music tutors and student and parent volunteers.
D) To lead on planning of concerts and largescale events.
E) To follow, develop, and maintain standard operating procedures and processes.
F) To market and promote Sutton Music Service ensembles and other activities, including capturing and creating digital content that can be used on social media, our website, and other appropriate communication channels. Make regular contributions to the Music Service’s comms output.
G) Develop musical experiences for ensemble students by attending the annual music residential.
H) Collect and monitor key data and contribute to the annual Arts Council England (ACE) Data return.
The main duties and responsibilities of the post holder are indicated below, although other duties of an appropriate level and nature will also be required.
A) Coordinate Sutton Music Service rehearsals by:
a. supervising each rehearsal
b. producing registers and timetables
c. overseeing the signing in and out of students and tutors
d. managing equipment, sheet music and other resources
e. inputting and ensuring the accuracy of the ensemble related data on our SpeedAdmin database
f. processing ensemble applications
g. monitoring student attendance to rehearsals and concerts, and developing strategies to maximise participation
B) To enhance the student experience by:
a. leading the student council
b. the development of our Youth Engagement Strategy
c. the implementation of an Ensembles Marketing and Promotion Strategy
d. creating social media and website content
e. frequent contributions to the Music Service’s comms output to promote and celebrate the ensembles
C) Coordinator the running of Sutton Music Service concerts and largescale events by:
a. event planning
b. communicating with the tutors, students, parents/carers
c. producing concert programmes
d. working in collaboration with Sutton Youth Music Supporters Association (SYMSA)
e. attend and coordinate the European Music Tour and weekend residential in partnership with the Music Service Senior Leadership team
D) Attend and contribute to monthly Music SLT meetings.
E) Attend Sutton Music Education Hub board meetings, as necessary, to report and present information.
F) Work with the music leadership team to ensure excellent communication across the Music Service and its clients, providing outstanding customer care.
